BOOKING PROCEDURE

The price can vary according to the retreat offerings. Prices include all hikes and runs, transportation during event, accommodations and meals. Some pricing is based on sharing with one other (let us know if you want to share a solo king bed room), this can be a partner, friend or you can opt to share with someone else on the retreat.

On making a booking with us, each person traveling must accept the terms of these Booking Conditions and pay 100% of the total cost of the retreat per person. Cancellation for a full refund is possible up until November 1, 2021. After that it MIGHT be possible, but will depend on the waiting list. Please contact us immediately if your plans have change so we can help you find a replacement person. A full transfer of your spot is acceptable up to 2 weeks before the retreat. We will do our best to assist finding the replacement person, but it is still up to you. If you are unable, we won’t be able to refund your cost. 

Your booking is considered definite and a contract will exist between you and Wild Utah Tours LLC / Shanti Hodges only when the payment has been received and a confirmation invoice is sent to you. Upon sending payment we will send you a confirmation email for your booking. 

No contract will exist between us prior to our issuing the confirmation invoice.

We reserve the right in any circumstances to cancel the retreat. If we do cancel within 8 weeks of the retreat, we will offer a full refund of all monies paid within 14 working days. If reason for cancellation is out of our hands

 

(Covid, natural disaster, war or other force majeure: war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, epidemics and pandemics, fire, adverse weather conditions (including snow and volcanic ash), technical or maintenance problems with transport, or other circumstances) we will do our best to refund as much as possible based on company financial loss. Our retreats require a minimum number of at least 50% of the participants to have booked by 45 days before the start date. If this minimum number is not reached by that date we may cancel and refund the money to you.

We can't refund plane tickets purchased. That is your risk, so consider purchasing airline cancellation insurance. You can also look into travel insurance in case of your own family emergency or situation. 

INSURANCE & HEALTH

We strongly recommend that you have full travel insurance to cover the activities on your retreat. Our insurance is based on retreat insurance, not backcountry guide insurance, therefore you are hiking/running at your own risk. We are careful to take people on trails that are level appropriate and have minimal risk involved in our activites. 

 

Please check with your doctor that you are sufficiently fit and healthy to undertake hiking, yoga classes and any other physical activity we have arranged or you may arrange during the retreat. Please check with your own doctor that any medication you may be taking does not prevent you from full participation. If you experience any injury or discomfort during any activity organized for you, then you must stop the activity immediately and advise your retreat teacher accordingly. We will be at 3,000-6,000 feet for all of the retreat, so altitude is something to consider if you have breathing problems. 

AMENDMENTS BY YOU

If, after your payment has been credited to our account, you wish to change any part of your retreat arrangements, or wish to change departure date, we will do our utmost to make the changes, provided that notification is received in writing via email and confirmed from the person who made the booking, at least 6 weeks before departure.

AMENDMENTS BY US

It is unlikely that we will have to make any changes to your retreat, but we do plan the arrangements many months in advance. Occasionally, changes may have to be made (e.g., to itineraries, venue accommodation, chefs, leaders, yoga), which we reserve the right to do at any time. Changes are normally minor and we will advise you at the earliest possible date.

If your accommodation has to be changed, we will do our utmost to provide accommodation of a similar rating. If a significant change becomes necessary before departure, we will inform you as soon as reasonably possible if there is time before your departure to do so. Should a significant change occur before your departure, then provided that it does not arise through circumstances amounting to force majeure (war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, epidemics and pandemics, fire, adverse weather conditions (including snow and volcanic ash), technical or maintenance problems with transport, or other circumstances), you will have the choice of either accepting the change of arrangements, booking another retreat with us, or cancelling your holiday and receiving a full refund. If you choose another retreat that is more expensive you must pay any difference, but it if is cheaper we will make the appropriate refund.

OUR LIABILITY TO YOU

We accept responsibility for ensuring that the retreats that you book with us are supplied as described and that the services we are contractually obliged to provide are to a reasonable standard. We accept responsibility for the acts and/or omissions of our employees, agents and suppliers except where they lead to death, injury or illness. However we will not be liable where any failure in the performance of the contract is due to: you; or a third party unconnected with the provision of the travel arrangements and where the failure is unforeseeable or unavoidable or unusual and beyond our control. 

Optional trips booked locally are not our responsibility (examples: helicopter tour of Zion, ATV rides, Canyoneering, Horsebackriding) 

PLEASE NOTE THE FOLLOWING

There are risks inherent with any activity holiday and with physical exercise. We strongly recommend that you consult your doctor before travel to advise on your ability to undertake strenuous exercise. You should make him and us aware of any medical condition, which may affect your ability and comfort when undergoing vigorous exercise.

CANCELLATION BY YOU

This policy sets out your right to cancel your contract for the purchase of services from us, Wild Utah Tours LLC. A specific cancellation policy for an event may be specified when booking but in the absence of any such policy the following will apply: Please note that bookings are generally non-refundable. However, we always try to be sensitive to the circumstances of cancellation of our events.

CANCELLATION BY US

We reserve the right in any circumstances to cancel a retreat, in which case we will offer a full refund of all monies paid within 10 working days. In particular, our retreats require a minimum number of at least 50% of the participants to have booked by 60 days before the start date. If this minimum number is not reached by that date we may cancel and:

  • provide a booking for an alternative retreat or date; or

  • if you are unable to attend the re-scheduled meeting or event (if any) or there is no re-scheduled retreat then we will provide a refund of the fees paid.
